Data Ownership & Deletion
Your data belongs to your organization
All data entered into Property Prism — contacts, buildings, owners, comps, activities, and imports — belongs to your organization. Individual team members create and manage data on behalf of the brokerage.
When a team member leaves your organization:
- Their access is revoked immediately
- All data they created remains with the organization
- This is consistent with standard employment practices — work product belongs to the employer
Requesting data deletion
If your organization decides to leave Property Prism, you can request a full data purge. This will:
- Delete all of your organization’s records across every data category
- Remove all user memberships and API keys
- Anonymize (not delete) audit log entries to maintain a compliance trail
To request deletion, contact your platform administrator. We will confirm the request, execute the purge, and provide written confirmation that all data has been removed.
Data retention
- Your business data (contacts, buildings, comps, etc.) — retained as long as your organization is active. Deleted on request when you leave.
- Audit logs — retained for 7 years for compliance, then automatically purged.
- Error logs and import job records — automatically purged after 90 days.
- Contact activity history — retained for 2 years, then automatically purged.
